Receptionist/Administrative Assistant

Description:The Receptionist/Administrative Assistant position is a critical front line position at AOD Software. The successful candidate is expected to be “the face of the firm” and represent AOD in a positive manner at all times to our clients as well as our employees. This position is responsible for all typical Receptionist duties, including answering and routing incoming calls and providing information about the organization to interested parties, as well as administrative support, to include word processing, PowerPoint presentation and document review and formatting, calendar management, mailings to clients, shipping overnight packages, copying, and much more.


Responsibilities:

• Answer telephone and direct callers to appropriate people
• Greet and direct visitors
• Routine clerical duties related to receptionist position
• Process, ship and distribute incoming and outgoing mail and packages
• Assists with clerical duties (typing/data entry, filing, etc.)
• Ordering and inventory of all office supplies
• Prepare training materials and set up refreshments for clients and meetings
• Enter time and billing information into a database
• Administrative support duties as assigned


Requirements:

• Associates degree and at least 1 year of experience in an administrative support and/or client services role. A combination of education and experience is acceptable.
• Must be outgoing with excellent customer service skills and professional phone etiquette
• Excellent written and oral communication skills
• Strong proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook)
• Ability to learn quickly
• Must be self-starter and self-sufficient, with a positive attitude and great organization and prioritizing skills
• Attention to detail and focus on accuracy is essential
• The successful candidate will be a team player who takes initiative to improve their own capabilities as business changes and opportunities arise
• Must be able to successfully deal with multiple priorities, tasks, and fluctuating deadlines
